The Bower Privacy Policy

The Bower collects information from you when you participate in our outdoor activities, camping, community events, and other programs. We don’t sell your information. Medical and emergency-contact details are used only for your safety when you are participating in activities at The Bower and are not used for marketing. The Bower Full Privacy Notice

This notice explains what information North Country Land Stewards LLC, doing business as The Bower (“we,” “us”), collects when you register for and participate in our events, programs, and activities (“Activities”), why we collect this information, who we share it with, and the choices you have. It covers our event registration (handled through SmartWaiver and Jotform); it does not change the separate privacy policies of other third-party services we use, listed below.

What we collect

When you register for Activities, we will ask for some or all of the following information:

  • Contact and party details — your name and email; your phone number; how many people are in your party and their names; and how you heard about us.

  • Logistics — when you will be participating in Activities, and (if applicable) your preferred arrival and return times.

  • Guided walk details (if your activities include a trail walk) — your preferred walk time; an emergency contact (name, relationship, phone); and any allergy, medical, or mobility information you choose to share so our guides can keep you safe.

  • Your consents and choices — whether you opt in to email and text-message updates, and your photo/media consent.

  • Your signature — your electronic signature on our Participant Agreement, with the date and time.

If you purchase merchandise or services directly from us, your payment is handled by Square; we receive your order details but not your full card number. If you purchase services through our third party platforms Hipcamp (camping reservations) or Bonfire (branded merchandise), your payment is handled through their platforms; we receive your order details but not your full card number.

Why we collect this information, and how we use it

  • To register you for the Activities and confirm your spot

  • To provide transportation and check-in services for Activities involving shuttle service

  • To keep you safe during guided Activities — your emergency contact and any medical/allergy notes are used only for your safety in the event of an emergency

  • To send you informational updates about Activities you register for — for example, registration confirmations and weather updates by email or (if you opt in) text message

  • To understand and improve our Activities — for example, the “how did you hear about us” answer

Sensitive information (medical and emergency-contact details)

  • We treat your medical, allergy, and emergency-contact information as sensitive. It is:

    • used only for your safety during Activities;

    • never used for marketing and never shared with our email or text-message tools;

    • securely stored by SmartWaiver or Jotform, with access to your information provided to staff only in the event of an emergency.

Text messages

  • If you opt in to text updates, we’ll text you only time-sensitive information about Activities (such as weather cancellations or scheduling changes). Message and data rates may apply, message frequency varies, and you can reply STOP to opt out or HELP for help at any time. Opting out of texts does not cancel your registration.

Who we share your data with

We do not sell your information or share it for anyone else’s advertising, and we do not share it with our event co-hosts or subcontractors for their own use. We share it only with:

  • Service providers who run our registration, activity communication, and merchandise sales systems for us, and only as needed to do so: SmartWaiver (registration and waivers), Jotform (registration and waivers), Hipcamp (campsite reservations), Brevo (email and text updates), Bonfire (branded merchandise), and Square (direct purchases). Each of these providers has its own privacy policy.

  • When the law requires it, or to protect someone’s safety in an emergency.

How long we keep it

We keep your registration and signed waiver for as long as we need them for our records and to meet legal and insurance requirements.

Your choices

  • Email: every update has an unsubscribe link.

  • Text: reply STOP to stop texts.

  • Photos: Photo and video consent is part of registering for public events at The Bower. By registering and attending, you agree to be photographed and recorded, and to our use of those images, on the terms set out in the Photo & Media Consent and Release section of the event waiver you sign — which describes how the images may be used and its limits. This consent does not have a separate opt-out at the event.

  • Access or deletion: you can ask us what information we hold about you, ask us to correct it, or ask us to delete it, by contacting us at thebowernh.com/about-us. We aim to respond within a reasonable time, and no later than 30 days after you reach out to us.

  • (Depending on where you live, you may have additional rights under your local privacy laws; contact us and we’ll honor those that apply.)

Children

Our events are family-friendly, but registration is done by adults. A parent or legal guardian registers and signs for anyone under 18. We don’t knowingly collect information directly from children.

Keeping your information secure

We use reputable services to collect and store this information and limit access to those who need it to run the event. No system is perfectly secure, but we take reasonable steps to protect what you share with us.

Our website and newsletter

Our website and newsletter are hosted on Substack, which collects information under its own Terms of Use and Privacy Policy when you subscribe. This notice covers event registration; Substack covers the newsletter.

Changes

We may update this notice; the “last updated” date above will change when we do.
